I have been to Evora last year during my holiday in Portugal. I think, it is a bit hard to reach. Normally we stay in the city where the aiprot is, we don't travel much. I don't know what the think of that. But last time in Portugal we already had not many attendees and with some additional travel it might become even less.
I still think that also Barcelona could be a very good option if we would just get someone who helps us organising it there...

I dont know how much would you be willing to spend but this is a great place for a meeting as there are a lot of points of interest in the town. The subway and bus systems makes it quote easy to travel through the town and connect with the airport aswell.
My favourite is the City Park which is a urban park that is extended all the way up to the beach. Its great during day and night and quite easy to acess. The gardens of Palácio de Cristal (Crystal Palace) is a smaller version but unique in its way and has a great view to the Douro River. The Douro River itself is great. Take a boat trip and visit the wine caves from the famous Porto Wine. Definitely one of the greatest things is to make a trip through the zone of Ribeira and Foz through the Elétrico (not sure how you translate it but its a veicle that moves on rails through the streets of Porto). They look pretty classic and the trip is definitely worth it.
Apart from it, you MUST eat Tripas à moda do Porto (translated is basicly Porto's way of cooking Guts). Its why people of Porto are called "Tripeiros" and it is really tasty. The Francesinha is also very aprecciated in here but if you have a soft gut stay out as some make it with really spicy sauce. And of course you must drink Porto Wine with the meal.

I have to say, we did not see much from Evora. What we deeply regret. We had an appartment at Aldeia do Lago. We had a rental car and visited several nice cities around, but just when we wanted to drive from Beja to Evora, our car broke down. So we had to skip taking a look at the monuments and the karting track. We just have been therefore to two supermarkets and the rental car station where we got then a bad substitute car and we tried then to drive as less as possible with that car until we got a new one at Faro. But sooner or later I want to visit Evora, but still thing that it is better for a holiday with a rental car than for a Meeting :)

Mostly during summer but there are enough places to visit at this time :) All the people from UK I have been with had a great time here. Plus you dont have to spend a lot of money as prices are low :D
