Apart from organizing, what else does the host have to do? When do you want to organize, in what period? The area is beautiful in winter or summer. In winter it is hard to believe that we are doing karting.

The host's responsibility is:

- To ensure that all activites are booked and itineraries are completed for smoothness of meeting.
- To pre-pay for any and all bookings that may require this (you can then request payment from all participating members).
- To suggest hotels and transport at the given location.
- To guide the group through the activities when arriving at the location.
- To have fun!

That's about it :)

But to be honest, the only meeting he hosted, sucked. Instead of drinking and watching Euro2012 he forced people to play Bubble Football :-P

Yep but in order to vote for a location, I would want to know what city it is at very least. We probably need to let the hosts know which month it is to confirm what weekends they can do also...

i.e. we don't want to end up with a winning date with a winning host that can't do that date!

OK, as the meeting is usually done in July, the following dates are the ones that we should be doing it under as a F1 race falls under this weekend:

12	British Grand Prix	United Kingdom Silverstone Circuit, Silverstone		9 July
13 Hungarian Grand Prix Hungary Hungaroring, Mogyoród 23 July
14 Belgian Grand Prix Belgium Circuit de Spa-Francorchamps, Stavelot 30 July

Good shout on the F1 races!

@Liviu Sandu (R48) @Jukka Sireni (R145) @Marcin Żak (A49) Are there any of those dates next year that you could NOT host on? You would ideally need to be free on the Friday evening, Saturday full day and Sunday afternoon as a minimum. So that's:

7th, 8th, 9th July
21st, 22nd, 23rd July
28th, 29th, 30th July

Let us know please? :)

However, I know what such an organization means, how much time and effort it requires. And I also know that I do not accept to do things superficially.
I would need the support and help of another manager from Romania if anyone is available.
It would be a good option to contact a tourist agency to organize for us. There are no noticeable additional costs. That way I would have support. It's just that some advance payments will probably be required for all the necessary reservations.
They will definitely want to know in advance the number of people involved.
I'm sorry that the distance between the hosting area and the Hungaroring is quite large, because otherwise we could try to see the F1 race live.
My proposal was for the Brasov area. You should check how easy it is to get there. If not, we must be some of the hosts with a car to make the journey from Bucharest, or rent a means of transport. I think this can be solved.
I am waiting for your opinions and those willing to participate. Maybe another host has better ideas.

So far it has been that everyone books the hotels and flights themselves, and the host gets the bowling/karting/activities and maybe restaurants booked. Of course, Brasov seems to be not very near to any airport (I guess Bucharest is the best option), so some common transportation would be good too. But you don't need to be tour operator, just try to make sure the activities happen.

For me, likely any weekend would be as fine as it gets.

The best solution is the Bucharest airport, and from there there are means of transport every 4 hours. The duration of the Bucharest-Brasov road is 3 hours. it's good because everyone comes at different times.
I would like to know the estimated number of participants because depending on this I can find locations where we all stay. I don't think it is good to accommodate the participants in different locations.

Main problem with the meeting for me is timing.

My holidays at my company are collective, so I can't choose. I can probably get some unpaid vacation for a few days, but... I like money.

Helsinki - no problem, it is close, any weekend is fine.... but I like money... but I imagine Jukka hosting will be amazingly well organized, judging by his "tourist schedule" in the last 2 meetings :).

Romania- Brasov - that region needs a 5-6 hour by plane to Bucharest (no direct flights) + 3 hours by train/bus + time to get to hotel and train/bus station and airport waiting time etc. So it is like a full day of traveling there and back. I do really want to visit Romania. It is fine if it is in the middle of a normal holiday in my company (will get the holiday times in mid-late January).

Poland - Wroclaw: flights are ok 4-5 hours (again nothing direct), flown there and back once before actually (had no time to do touristy things, so would be nice to visit).

Estonia - Tallinn: we are not desperate, hooray, I would rather not host.

Not sure what I would put as nr.1 at this point, I want Romania, but it is the only one I am not sure I can make it to. Helsinki is the only one I 100% will make it to (at least partially).


EDIT: I would very much like if we expand the potential times starting from June 16.th, as there is a very high probability I have 2 weeks off around June 23-24 (not sure in which direction, but the holiday has been around that time in my company for decades, new management though, so can't be sure)

British GP is 9th July. That weekend will possibly work for you? :)

Otherwise 2nd July is Austrian GP that could also work? Depends on our host's availability.
